Creating a Time Sheet form in eTime
When a form preparer wishes to submit hours for the purpose of paying
employees, they will need to create a time sheet form in eTime and submit
that form for approval and routing to the Payroll Office.
Creating a Time Sheet Form
- Log-in to eTime: https://etime.msu.edu
- Review the NOTICE page for any changes in payroll or information updates from the Payroll Office.
- Select the Forms
menu option by pointing at it
with the cursor. Then, click
on the Create forms option
that appears.
- The Create Form page will appear.
- Instructions appear at the top of the page to assist the preparer
in starting a new time sheet form.
- The white section beneath the instructions is the Begin A Payroll Form section.
- This is where preparers will go to create a new time sheet form or to copy an old form for a new pay cycle.
- There are two parts to this section.
- Preparers will EITHER fill in the three (3) boxes along the first line of this section - the default option in order to Create a New Form.
- OR, the preparer will change the default to Copy An Existing Form and complete the two (2) boxes that are required on the second line of this section.
- This Quick Start will only focus on using the Create a New Form option.
- To Create a New Time Sheet Form:
- Select a pay cycle:
- Select a CUC
Note: If you are responsible for only one CUC, that CUC will fill in automatically in the space required. If you are responsible for more than one CUC, they can be located by ‘clicking’ on the down arrow [V] and selecting from the options available. The space provided will always fill in with the lowest CUC number that is available.
- Select a Form Type:
Choose the pre-populated form for most cases or the ‘blank’ form to report for more unusual items, such as late pay, retroactive pay, etc.
- Click the [Continue] button.
- The employee Selection page will appear.
- Select the employees to pay:
- Click on the box next to the employee name for each employee that has turned in hours for the selected pay cycle. -OR-
- Use the Search for an Employee search options and Click the box next to the employee name once the desired employee is located on the employee list.
- Click the [Create Form] button.
- The Form Detail page will appear.
- Click the [Save Form] Button
- Fill in the hours that each employee selected has worked.
- Once all of the hours are completely filled in the preparer can:
- [Save Form] and exit out of the form in order to continue work on the form at a later time.
- [Check For Errors] to assure that the form is correct prior to submitting it for approval and routing to the Payroll Office.
- Click the [Submit Form] button which will; 1. Save the form, 2. Check for errors, 3. Submit the form for approval and routing to the Payroll Office.
- Click the [Submit Form] button to send the form to the appropriate approvers.
- Once completely approved the form will be routed to the Payroll Office.
